HR IT Systems Optimization  

In 2023 UCLA Campus Human Resources and IT Services partnered to launch the HR IT Systems Optimization Program (HRITSO). The initiative successfully implemented three new HR systems: the Bruin CHR Service Center (December 2023), JDXpert (February 2024), and iCIMS along with a redesigned UCLA Campus Job Opportunities website (March 2024), replacing UCLA’s PeopleAdmin platform which was implemented over 15 years ago. Collectively, these modern, robust systems: 

  • Streamline the intake and delivery of HR service requests. 
  • Provide access to built-in tools, resources, and institutional data, which enable more efficient and effective position description management and applicant tracking. 
  • Improve both the employee and applicant experience through visibility into approval workflows, statuses, and a redesigned campus job opportunities website. 

As part of the three system implementations, 1100+ campus stakeholders were engaged and 2000+ total users attended training. With these modern solutions, CHR and HR staff will be able to provide more efficient HR services to better meet the needs of UCLA’s campus community as well as enhance UCLA’s ability to attract, recruit, and hire campus employees. 

Bruin Voice 

UCLA continues its Digital Campus journey with the campuswide implementation of Zoom Phone by IT Services and its campus partners.  In 2023, the Bruin Voice team achieved the transformation milestone of migrating nearly 6,000 phone lines and 30 auto-attendants/phone trees to Zoom’s softphone solution. Additionally, the initiative drove the clean-up of telephony data and identification of approximately 5,000 phone lines to disconnect that will save customers approximately $1M annually.
 
Zoom Phone offers the following benefits:

  • Adds convenience and flexibility with phone numbers that can be used remotely or on-the-go
  • Enhances collaboration and better empowers hybrid work and teaching with seamless transition to video calls, desktop sharing, chats, and more
  • Replaces legacy systems that are end-of-life or rely on parts that are no longer available
  • Increases sustainable practices by reducing hardware, repurposing eligible phones, and installing up-to-date equipment with more reliable performance

Bruin Voice is made possible by UCLA’s Chief Administrative Officers, IT Strategic Partners, and department leaders, building on our expanded data network capacity and robust change management for end-users via communication, training, and IT support.


BruinBuy Plus 

As part of the broader Ascend 2.0 financial transformation program, UCLA launched its new procure-to-pay system, BruinBuy Plus, in January 2024. BruinBuy Plus, powered by Jaggaer technology, replaces UCLA’s legacy procurement system, BruinBuy, and will advance the University’s procure-to-pay capabilities to amplify efficiency, visibility, and user-centered experiences. The launch of this new system introduces a variety of benefits related to procuring goods and services, including: 

  • A seamless, Amazon-like shopping experience 
  • Enhanced communication tools 
  • Increased visibility and personalized dashboards 
  • Streamlined and automated purchasing instructions 
  • Faster approval and processing 

UCLA’s community of about 3,100 Campus Buyers, PAN Reviewers, Fund Managers, and Principal Investigators have completed BruinBuy Plus training and are now completing their tasks in the new system. BruinBuy Plus marks a significant milestone in our digital campus journey and is a testament to how we continue to work towards greater business transformation and efficiency. 

Bruin Learn 

As part of the Digital Campus Roadmap, IT Services implemented a world-class integrated teaching and learning experience for faculty and students that sets the standard for teaching excellence, academic achievement, and inclusivity entitled Bruin Learn. While Bruin Learn is built on the leading Canvas Learning Management System (LMS), it incorporates many other significant tools and capabilities that reflect a broader mission than any one platform. 

The implementation of Canvas is supported as it provides:

  • Stronger Tools
  • Compatibility with UCLA's Future
  • Enhanced Student Experience 
  • Campus Partnerships 

Canvas has been successfully integrated across five campus systems consisting of 4,250+ instructors. In total, over 50,000 faculty, students, and staff have engaged with the new LMS tool across 7,000+ published courses at UCLA. Bruin Learn has and will continue to elevate the learning experience and unlock continuous innovation in classrooms. 

Salesforce Marketing Cloud

IT Services successfully deployed Salesforce Marketing Cloud for UCLA Strategic Communications to streamline and align all communication efforts at the enterprise level—specifically UCLA’s official mass email service known as BruinPost. This comprehensive, integrated platform for digital communications enables UCLA to increase engagement and affinity by providing the ability to gather information and deliver timely, relevant, and effective messages. Due it its successful implementation, users may now:

  • Create custom HTML emails or build messages from templates
  • Track and report on email performance, such as open rates and bounce information
  • Manage dynamic distribution lists
  • Schedule email and newsletter sends

The university’s single digital communication platform was designed to be a scalable solution, as it provides a blueprint for future units to implement an innovative tool that can be used to plan, personalize, and optimize mass email messages and campaigns internal and external to UCLA. The implementation of this tool has met early success, sending messages to over 90,000 subscribes with a delivery rate of 99.9%.
